MCWA Meeting Minutes of November 2, 2021

President Ralph Iden (WB9ICF) called the November 2021 meeting to order at 7:03 PM. The Pledge of Allegiance followed led by Dave Holmgren (K9AT). Ralph noted that the program will be recorded. Ralph welcomed new members Christopher Burke (N9YH) and Eric Lanzi (WB9JNZ).

Board members present were Gary Dembski (W9GD), Dean Hettel (WC9C), Ralph Iden (WB9ICF), Gary Kaatz (W9TD), Dan Larson (KD9M), Mike Metroka (WB8BZK) via Zoom and David Whiteside (N9BSA).

A total of 35 members were in attendance and 1 guest, our speaker for tonight, Ron Delpiere-Smith (KD9IPO).

Approval of Minutes

The meeting minutes from the October 2021 meeting were previously posted to the MCWA website for review. Dave Whiteside (N9BSA) motioned to approve the minutes with Sam Haldiman (KC9GPY) seconding the motion. The motion was approved by unanimous voice vote.

Membership and Financial Reports

Treasurer Dean Hettel (WC9C) presented the membership and financial reports for October. MCWA has a membership of 127 full members including 7 family members.

The McHenry monthly Ham breakfast is held the first Saturday of every month at Buddyz, 1138 Green Street, at 8 AM. Contact Dave Whaley (NT9E) for more information.

Board of Directors Meeting Recap

Ralph reviewed the BOD meeting starting with the health of the club. Membership is strong and stable with meeting attendance lower during the pandemic but recovering. Finances are strong due to revenue from the equipment auction and spending that is well under budget as shown in the difference between budgeted and spent numbers below.

 Other items covered at the BOD meeting included a review of progress on action items from the previous BOD meeting. This included the new meeting space, nominating committee process change, documentation of club roles and processes and an inventory of club property on location of said items.

New business included a discussion of whether to revise the quorum number in the constitution and finding a long term place to store club property.

A program coordinator is still needed since programs are an important part of our monthly meeting. Please contact Ralph (WB9ICF) or Mike (WB8BZK) for more information as to what is involved.

Old Business

The Scout Camporee was a success with over 20 club members participating either at the site or providing contacts for the scouts. Approximately 300 scouts came through the demo. Bill (KD9WEW) provided an introduction to the recap, Gary Dembski (W9GD) discussed the activity at the FT8 station, Dave Holmgren (K9AT) talked about his demo using Morse code and Allstar, Jen Van Zieleghem (KD9FMJ) told a scary story to the scouts at her portable station in the back of her car and Sam Haldiman (KC9GPY) talked about the 6 and 2-meter station. David Whiteside (N9BSA), representing the Blackhawk Area Council, Sycamore District of the BSA, presented certificates of thanks to all the participants at the meeting tonight as well as to the MCWA and the 415.

New Business

Ralph presented a slide on possible ideas for the summer picnic. There is an immediate need for an organizing committee to plan it. Ralph will create a survey for the membership’s preferences. It was mentioned that is the distant past, MCWA held a picnic concurrent with Field Day and it was well attended.

As discussed at the BOD meeting, the Board is proposing an amendment to the constitution regarding a change in the determination of a quorum. After the membership has a chance to review the proposal, there will be a vote at the next general meeting. Ralph explained the reason why we have a quorum requirement and the need to change it. He also related what options the board had considered. The proposed amendment is as follows:

ARTICLE VII – Meetings
SECTION 1

The Bylaws shall provide for regular and special membership meetings, A minimum for a quorum to conduct club business is one-third one-fifth of the full members in good standing.

Wrap up

Ron Delpiere-Smith (KD9IPO) will be presenting “RF Exposure Calculations” following the adjournment of tonight’s meeting.

The next regular meeting will be Tuesday, December 7, 2021 at the Algonquin Township meeting room. Open “eyeball” QSOs start at 6:30 PM, with the meeting starting at 7:00 PM. The program is “Personal Space Weather Station project” by Bill Engelke (AB4EJ).

The meeting minutes from the September 2021 meeting were previously posted to the MCWA website for review. Dave Whiteside (N9BSA) motioned to approve the minutes with Dave Holmgren (K9AT) seconding the motion. The motion was approved by unanimous voice vote.

Announcements

The MCWA annual board of directors meeting will be via Zoom on Tuesday, October 19 at 6:30 PM. The meeting is open to all members in good standing.

Jamboree on the air: Dave Whiteside (N9BSA) will be running the event from the park behind his house on October 16-17. The Cub Scounts will be there from 12 to 3 on Saturday. They will try to contact K2BSA the headquarters station.

Old Business

Ralph thanked the outgoing board members for their service, noting that Mike Salak (KC9Q) completed his two-year term as director. He welcomed David Whiteside (N9BSA) as a new two-year term director. He then welcomed the new board of directors.

The Scout Camporee will be held Friday to Sunday but most activity will be on October 23 from the McHenry County Fairgrounds, Woodstock. Gary Dembski (W9GD), Bill Wacaser (KD9WEW) and Doug Tucker (KD9PQI) have been planning the activities. They have 20 minutes for 7 tech presentations, 5 directed towards youths. The expectation is 100 to 200 Scouts. They are looking for stations that can be ready to talk to the scouts when they get on the air on 50.180 and 146.415 between 9 and 4.

A program coordinator is still needed since programs are an important part of our monthly meeting. Please contact Ralph (WB9ICF) or Mike (WB8BZK) for more information as to what is involved.

Auction wrap-up: The club netted $3,325.00 with only a Drake R4A/T4X pair and a few small items left.

Member feedback about the new meeting space at the Algonquin Township was positive. Glenn Otto (K9OK) thought it was great. Mike Metroka (WB8BZK) thought the ventilation and the room to spread out was excellent.

Ralph announced that the November Dinner/Social is postponed. There will be a Spring or Summer picnic instead.

Officer elections: Glenn Otto (K9OK) read the bios of the nominees, Ralph Iden (WB9ICF) for President, Dan Larson (KD9M) for Vice President, Dean Hettel (WC9C) for Treasurer, Gary Kaatz (W9TD) for Secretary and Dave Whiteside (N9BSA) for Director. Gary Dembski (W9GD) and Mike Metroka (WB8BZK) will remain in their positions. There were no nominations from the floor and Sam Haldiman (KC9GPY) moved to close the nominations and was seconded by John Cankar (W9JM). The election was unanimous by voice vote.

New Business

Scout Camporee October 23 at the McHenry County Fairgrounds. Gary Dembski (W9GD), Bill (KD9WEW) and Doug (KD9PQI) are coordinating the activities and will be sending updates to the K9RN Groups.io reflector. Need stations ready to talk to the Scouts on 6 and 2.

MCWA Meeting Minutes of August 3, 2021

President Ralph Iden (WB9ICF) called the August 2021 meeting to order at 7:02 PM. The Pledge of Allegiance followed led by Dave Holmgren (K9AT). Ralph noted that the meeting would not be streamed due to low bandwidth. New and returning members were welcomed.

Old Business

At the September meeting, the nominees for MCWA officers will be formally presented by the Nomination Committee with additional nominations accepted from the floor. The election will then follow.

Regarding the November Dinner Social: Ralph noted that we are still looking for a volunteer to scout out locations. It could be a pizza or rib house. Prices at the Village Squire for steak, chicken or fish will be $29+ per person. Another option is to skip this and plan for a summer catered picnic. Ralph asked for opinions.

13 Colonies: Mike Metroka (WB8BZK) worked all 16 stations in two hours at the beginning of the event and then tried to work them all again on Phone, CW and digital.

In-person meeting update:

With restrictions lifting, the search resumed last month. The Member survey (with 60 respondents) drove the requirements for a venue.

  • Larger meeting room so people have space
  • Proper climate control
  • Crystal Lake or nearby locations preferred
  • Support spending $100 or less for rent per meeting
  • Keep virtual meeting option for remote members or those unable to attend in-person

Most survey respondents were ready to start meeting in-person as soon as possible and 25% would wait until fall.

Venue selection factors:

  • Capacity of at least 60-75
  • Availability each month
  • Proper room temperature control
  • Ease of access
  • Geographical location
  • Screen or wall for projection of slides
  • Internet for presenters and streaming
  • Rental costs

Many possible venues were proposed and were initially screened by capacity of 60-75, availability each month and rental costs.

The chosen venue is the Algonquin Township meeting hall in Crystal Lake. Ralph gave John Dewey credit for doing all the initial legwork. The features are:

  • Capacity of 90 people
  • Except for this September, available on the first Tuesday of every month
  • Operational zone thermostat
  • Wheelchair accessible
  • Just over 1 mile for Portillo’s on Route 14
  • Can use their screen or project on wall
  • Internet access for presentations
  • Public address system
  • Cost: $0 and no custodian fees (we make sure things are clean and chairs and tables stored)

Pictures of the meeting space were shared by Ralph Iden (Wb9ICF). The August 3rd meeting will be at our new location. Doors will be opened at 6:30PM and the meeting will be streamed. There will be a live auction. Pierre Berube (K9EYE) asked if the meeting is to be streamed on YouTube, will it be saved? Ralph said, yes it would. John Dewey (KA9CAR) asked if the September meeting would be at the bank. Ralph said it will be looked into.

Dan Larson (KD9M) reported on the MCWA Field day that was held at the Rush Creek Preserve. The setup team was Joel (W9NXM), Roger (KF9D), Bill (KD9WEW), Dean (WC9C), Wayne (KC9UKA), John (KA9CAR), Mike (WB8BZK), Dan (KD9M) and Loren (K3RFC). Additional people helped at teardown. CW station operators were: Harold (W9HB), Roger (KF9D), Fred (KG9X), Gary (W9TD) and Joel (W9NXM). SSB and digital operators were: Dean (WC9C), Dan (KD9M), Dave (KA9OZP), Kent (K9KMD) and Mike (KD9DLL). VHF operators were Mike (WB8BZK) and John (KE9NDY). The GOTA station was run by John Dewey (KA9CAR) and Bill Wacaser (KD9WEW) who did all the recruiting. It was successful on Saturday with several Scouts making contacts. The final score including 1350 bonus points was 8838 for 2015 QSOs in all but 2 sections. Not quite as good as our 2020 score of 8930, the best of all time. Chef Mike Ophus’ (KD9DLL) food kept everyone happy. Loren Burkett (K3RFC) said that the community outreach was the best he has seen as was the GOTA.

Reports from other McHenry County Field day activities:

K9ESV, the McHenry County RACES & ARES, operated 2F from Woodstock. N9WH, the 415 group, operated 3A from Gary Dembski’s (W9GD) farm. Jan Van Zieleghem (KD9FMJ) reported that they made 363 CW, 527 phone and 264 digital contacts for a total of 1154 QSOs and 5004 points.

New Business

Annual Officer and director elections will be held at our September meeting. To give the members a chance to consider the candidates, the Nominating Committee will report their nominees at the August meeting. At the September meeting, the nominees will be formally presented with additional nominations accepted from the floor. The election will then follow. Ralph noted that the following have expressed their willingness to continue: Dan Larson (KD9M) VP, Dean Hettel (WC9C) Treasurer, and Ralph Iden (WB9ICF) President.

Ralph posed the question whether there is an interest in a November Dinner/Social? Should other places than the Village Squire be considered? If so, do we have a volunteer to scout out appropriate venues? Ralph will post the request on the K9RN reflector. He also noted that the previous cost was $25 per person and would increase this year. Tom Pusateri (W9NBG) said that in the past he had trouble finding handicap parking at the Village Squire and others noted that they also had to park further away. Tom Craner (KD6KHK) noted that as part of our negotiations, the venue could put up additional handicap parking for us. Pierre Berube (K9EYE) suggested having the event catered at our new meeting space.

Ralph also announced that Mike Metroka (WB8BZK) will be stepping down after several years as the program chairperson. Since programs are an important part of our monthly meeting we will be looking for a volunteer to step into this position. If interested, contact Ralph or Mike for more information as to what is involved.

Wrap up

Lloyd Berg (N9LB) will be presenting “Lightning Protection for Amateur Radio Stations” following the adjournment of tonight’s meeting.

The next regular meeting will be Tuesday, August 3, 2021 at the Algonquin Township meeting hall. Open “eyeball” QSOs start at 6:30 PM, with the meeting starting at 7:00 PM. The program will be the equipment auction.

A motion to adjourn was made by Tom Cramer (KD6KHK) and seconded by Dave Whaley (NT9E). The motion was approved by voice vote and the meeting was adjourned at 8:25 PM.
